Advisor’s Corner: January 1 Success Starts NOW

December 1, 2025

Open enrollment may be underway, but for Medicare Advantage plans, the day that matters most is January 1. That’s when new benefits go live, members are confident or crushed, and trust is either built or broken.

Here’s how to ensure the best start to the new year:

Get Cards in Members’ Hands on Time

When cards don’t arrive on time, members get understandably nervous…and angry.  There are dozens of issues that pop up during the implementation phase and many vendors aren’t prepared to handle them. To stay ahead in the race to 1/1, finalize and test vendor file exchanges in October and November, not December. Build buffer time into your production schedules for re-runs if needed. User acceptance test everything. A week’s delay in December can ruin your whole year.

Test What Members Will Experience

Before members interact with your benefits, your teams should conduct walkthroughs of the entire experience in retailers across your market area. They should activate their card every way possible; register for the portal; check balances; shop in-store for eligible items, ineligible items, and returns; test the IVR; and call customer service. Run a mock “benefit activation day” to surface issues with retailer integrations, item eligibility logic, or point-of-sale terminals that aren’t configured correctly. Identify every point where the experience isn’t quite right and fix it before the new plan year begins.

Validate Benefit Accuracy

The worst-case scenario for any benefit plan is to get the benefits configuration wrong. Make sure your loaded benefit amounts match your plan designs and CMS filings. Confirm rollover and quarterly replenishment rules are programmed correctly. Most importantly, ensure item eligibility lists are current and consistent across systems. If your member reaches the cash register and can’t use their dollars as they’ve been told, you’ll hear about it. And you won’t be the only one.

Stress-Test Member Support

Call volumes predictably spike every January. Review your vendor’s staffing models and quality monitoring plans for Q1 now. Walk through call scripts, escalation protocols, and training materials to ensure representatives can resolve issues on the first call. Extended wait times and flummoxed agents damage your member experience before it even starts.

Prepare for Complex Eligibility Rules

Special Supplemental Benefits for the Chronically Ill (SSBCI) and other condition-specific benefits add layers of complexity to your offering, creating confusion for your members who now need to qualify for benefits they may have previously received—risking complaints and grievances. Get ahead of it now by verifying that your vendor’s eligibility logic properly applies clinical criteria, diagnosis-based rules, and file-based triggers before January 1. Mistakes here create both compliance exposure and member confusion.

Readiness isn’t just operational—it’s reputational. Members judge your entire plan by whether their benefits “just work.” By stress-testing systems, validating accuracy, and holding benefit partners accountable for proactive readiness, you can start the new year right—for your members and your plan.
